Teams Add-In: Get the Tasks by Planner and To Do app and use it to plan tasks


Introduction

The in-Teams version of Planner has been rebranded to Tasks by Planner and To Do. Users can still access their in-Teams plans via the web version of Planner.

Tasks in Teams makes it easy for your team to stay organized, assign tasks, and keep track of your progress. Create a new task list so you can start getting things done.

If you are using Microsoft Teams, you can organize your tasks by adding one or more Tasks by Planner and To Do tabs to a team channel. You can then work on your plan from within Teams or in Planner for the web, remove or delete your plan, and get notified in Teams when a task is assigned to you in Planner.

Note: You cannot add a Planner tab to a private channel in Teams.

Add a Tasks/Planner tab to a team channel

  1. In your team channel, select Add a tab +.

  2. In the Add a tab dialog box, find and choose Tasks by Planner and To Do.
     
  3. In the Tasks dialog box, choose:
  1. Choose whether to post to the channel about the tab and then select Save.
  2. The tab will be added alongside your other team channel tabs, and you'll be able to start adding tasks to your board.

  1. Repeat this procedure to add as many plans as you want for your channel.

Note: You can also add the same plan to multiple tabs. This does not create a copy of your plan.

Working on your plan in Teams

Once you have added your plan in Teams, there are two ways you can get started using it:

  1. Tasks tab in the channel: You can perform the basic Tasks actions, such as adding buckets, tasks, assignments, and more. To use the more advanced features, such as Charts and Schedule, you'll need to open your plan in Planner for the web. 
  2. Tasks personal app: In Teams, in the left column, choose More options ..., and select Tasks by Planner and To Do.
          
  3. On the My Tasks tab, you can see all of the tasks assigned to you in Planner. The Recent and All tabs show you Teams-created plans you've recently looked at and a list of all plans you're a part of in Teams. Select About to find out more about the Planner app in Teams.
     

Open your Teams-created plan in Planner or Teams

After you've created a plan in a Teams channel, you can access that plan both from Planner for web and from Teams.

Open your plan in Planner for web:

  1. From the Office365.com website: Sign into mail.utoronto.ca, click the waffle icon select All Apps.

  2. Select Planner from the app launcher.

  3. In the Planner Hub, scroll to find your plan either under Recent plans or All plans.

  4. A browser window will open showing your plan in Planner for web.

Open your plan from the Tasks tab in Teams:

  1. In Teams, select your team and channel and select the plan tab you want. To the far right of your tabs, choose the Go to website icon.

  2. When a plan is created in Teams, the team and team channel names will appear beneath the name of the plan in this format: "team > team channel".

Open your plan in Teams:

Remove a Tasks tab or delete a plan

When you're done using a Planner tab in Teams, you can either remove it from your team channel but keep the underlying plan, or you can remove it from your channel and permanently delete the underlying plan.

  1. In your team channel, select the Tasks tab you want to remove or delete, select the arrow next to the tab name, and select Remove.

  2. In the Remove dialog box DO NOT check the box, and click Remove.

  3. To remove the plan from the team channel AND delete the plan from Planner, click Permanently delete this plan and all its tasks. This data cannot be restored. The plan will no longer exist either in Teams or in Planner for the web.

Get Tasks assignment notifications in Teams

You can get a Teams notification when a task is assigned to you by another person if your team has Tasks by Planner and To Do installed and your plan has a tab in Teams.

To turn on the Tasks assignment notifications in Teams:

  1. In Planner for the web, select Settings, and then under Planner, select Notifications
  2. Make sure the Someone assigns a task to me check box is selected.

Your assignment notification in Teams will:

Even if the task assignment action occurs outside of Teams (for example, in Planner for the web or the Planner mobile apps), if the plan has a tab in Teams, a Teams notification will be sent to the assignee.

If you are not seeing Teams notifications for a specific plan, please try uninstalling and reinstalling the Tasks by Planner and To Do app for the team associated with that plan to ensure the bot is added to the team.
