Change the From address when sending a message from a shared mailbox


When accessing a shared UTmail+ mailbox using Outlook and composing a new message, the From address may default to your individual email address. To have the From address shows the shared mailbox address, follow these steps:

The shared mailbox address will need to be manually added to the “From” options the first time you send from it. After that, it will regularly appear as one of the “From” options.

  1. Compose a new email message by clicking on New message.

  2. Click on the three dots icon and select Show From.

  3. Left-click on the email address in the From field and select Other email address.

  4. Type the shared mailbox email address.

  5. Address and compose email as usual.

You will need to change the From field each time you compose a new message, or it will default to your individual account.

Note: When replying to a message addressed to a shared mailbox, the From address will have the shared mailbox address.

Issue with sending mail from the shared mailbox address using Outlook

When you compose a message in Outlook, it will not be possible to choose the shared mailbox email address as the From address if:

In order to work around this issue, you will need to open a direct link to the shared mailbox through Outlook Web Access (OWA) to send from the shared mailbox email address. The direct link is of the format https://outlook.office.com/owa/shared.mailbox@utoronto.ca where you replace “shared.mailbox@utoronto.ca” with the email address of your shared mailbox.
