Give someone access to a Shared Resource calendar


Introduction

The owner of a Shared Resource calendar, such as a room or equipment calendar, can self-serve and manage permissions using Outlook for Windows. Owners who do not have access to the desktop Windows version of Outlook should create an IT support ticket for assistance.

Setting for "shared calendar improvements"

Please note: there is a setting in Outlook that should be changed before proceeding. First, ensure the version of Outlook you are using is 2202 or up (To determine your version, go to the File menu, then in the bottom left, click on Office Account and find About Outlook under the Product Information).

  1. In Outlook, select File >Account Settings >Account Settings.

  2. You will see a list of your email accounts. Select the Microsoft Exchange account that you use to manage the Shared Resource calendar and choose Change.

  3. Choose More Settings, followed by the Advanced tab.

  4. De-select the checkbox next to: Turn on shared calendar improvements. Click Apply, then OK, then Next, then Done. Close the Account Settings window.

  5. Close and restart Outlook.

Add/Change Permissions

  1. In Calendar view, right-click the Shared Resource calendar and choose Properties.

  2. Go to the Permissions tab to see all the people who have permissions to the calendar and their access level, and to add new people.

The permissions will generally take effect within 1-2 hours. The new individual can then add the calendar to their Outlook.
