Copy data between accounts in Outlook for Windows


Copy Messages

  1.  Ensure you are seeing all messages in your accounts by updating the offline settings for the account. Go to the File menu, then choose Account Settings, then Account Settings again. In the next window, make sure your UTmail+ account is selected, then click Change. Drag the slider under "Download emails for the past" all the way to the right so the time says "All". Click Next, then Done, then Close. Do the same for the other account.

  2. With both accounts open in Outlook, go to your UTmail+ account and select messages you wish to copy to the other account. Note: do not select too many, because it might cause the process to crash. Keep it at around 50 messages at a time.
  3. Right-click on the selected messages to pop out a menu.
  4. Go down to Move and select Copy to Folder. Note: we recommend copying rather than moving to ensure nothing goes wrong and the messages end up getting lost, which has been known to happen.

  5. In the window that opens, choose the folder from the list. Note: It is probably a good idea to create a new empty folder in the other account to copy these messages to.

  6. Click OK to have the messages duplicated in the new account. Continue going through these steps until all messages are copied.
  7. Sync your data before continuing to ensure all messages are synced to your new account. Go to the Send/Recieve tab and click on Send Receive All Folders.

Copy Contacts

  1. In Outlook, go to the Contacts view. Select the contacts you'd like to copy and right-click to pop up a menu.
  2. Choose Move > Copy to Folder.

  3. Choose the Contacts folder for the account you wish to move the data to and click OK.

  4. The contacts will be duplicated in the new account

Copy Calendar items.

  1. In Outlook, go to the Calendar view. Click the View menu and choose Change View then choose List.

  2. Select the calendar items you'd like to copy and right-click to pop up a menu.

  3. Choose Move > Copy to Folder.
  4. Choose the Calendar folder for the account you wish to move the data to and click OK.
