Copy data between accounts in Outlook for Mac


Please note that the import/export function is currently not available in new Outlook for Mac. If you use New Outlook on Mac, we recommend using Apple Mail to copy and move emails between accounts as a workaround. You can also use Apple Mail to copy, export and import your calendar data. You can also back up your Outlook data locally using Apple Mail.

Before you start: back up your Outlook data

Before you move, copy or delete files in Outlook, we recommend backing up your files first using the Time Machine application. You will need to connect a USB device or an external hard drive to store your files for backup.

  1. On the Apple menu, choose System Preferences>Time Machine.
  2. In the Time Machine dialog box, switch Time Machine to On, then choose Select Backup Disk.
  3. Select the location where you want to back up your files, and then choose Use Disk.
  4. If you want to ensure Time Machine backs up your files daily, check Back Up Automatically.

Copy messages

  1. With both accounts open in Outlook, go to your UTmail+ account and select messages you wish to copy to the other account. Note: do not select too many, because it might cause the process to crash. Keep it at around 50 messages at a time
  2. Right-click or hold down the control key and left-click on the selected messages to pop out a menu.
  3. Go down to Move and select Copy to Folder. Note: we recommend copying rather than moving to ensure nothing goes wrong and the messages end up getting lost, which has been known to happen.

  4.  In the window that opens, either choose the folder from the list, or begin to type in the name of the folder for the other account in the search field to bring up that folder. Note: It is probably a good idea to create a new empty folder in the other account to copy these messages to.

  5. Click Copy to have the messages duplicated in the new account. Continue going through these steps until all messages are copied.

Copy Contacts

  1. In Contact view, select the Contacts you want to copy and while holding down the option key, drag them to the Contacts for the other account.
  2. Confirm the copy by clicking Import.

Copy Calendar Items

Note: If you are using Outlook for Mac, you can only copy calendar items between Outlook accounts using Legacy Outlook. Calendar items on Outlook for Mac can only be moved and only one at a time.

  1. Select the item and right-click or control click to pop up a menu. Choose Move > Choose Folder.
  2. Choose the calendar you wish to move it to and click OK.
