Setting an out of office status on Teams


You can easily set an out of office status on Teams to let co-workers know you are away from your desk or on vacation. Your out of office status will also sync with automatic replies in your Outlook calendar.

There are two ways to schedule your out of office status and message in Teams.

Set your status through your profile picture


1. Select your profile photo at the top right hand corner of the Teams window. Select Set status message
2. Select Schedule out of office at the bottom of the window.

3. In the next window, toggle Turn on automatic replies. 
4. Write your automatic reply message in the text box below. This message will appear when people try to message you over Teams or click on your profile.
NOTE: In order to synch messages with your Outlook email, you must include a message in your Teams out of office status.



5. If you'd like to send replies outside of your organization, select the check box next to Send replies outside my organization and choose between your contacts or all external senders. 
6. Select the check box next to Send replies only during a time period and choose the dates and times that your out of office replies will be active.
7. Select Save.

Schedule an out of office reply in Settings

  1. At the top right of your Teams window, click the three dots and then select Settings.
  2. Select the General tab in the sidebar. Scroll down to Out of Office and select Schedule.
  3. Follow the steps above to set your reply and preference.

Once you've scheduled an out of office status and message in Teams, you'll see automatic replies turned on in Outlook with the time range and message you set in Teams.
NOTE: If you choose to update your out of office details in Outlook, your changes will be reflected in Teams.

To clear your out of office status and turn off your automatic reply in Teams, return to the Out of Office screen, click the toggle next to Turn on automatic replies and select the Save button.  

Troubleshooting 

NOTE: There may be instances where your Teams status may still display as out of office even when you're back at work. Here's how to fix this.

Option 1: Reset Microsoft Teams status

  1. Open Microsoft Teams.
  2. Click your profile at the top right.
  3. Go to Available (or whatever status you see), and click Reset status.

Option 2: Check Outlook invites

During your Out Of Office period, if you received a meeting invite that fell on the dates you were away, but also extended beyond them to dates when you’d be back in the office, they will all be marked as Out of Office. You will have to remove these invites to get rid of the Out of Office status in Microsoft Teams.

  1. Open Outlook on your desktop or in your browser.
  2. Select the Outlook calendar.
  3. Double-click a meeting invite or event that is set to Out of Office.
  4.  Once the event is open, open the Show As dropdown.
  5. Change the status from Out of Office to Free.
  6. Check your Teams status. It should be marked as Available with the green checkmark visible.
