Set up a separate profile for a UTmail+ shared mailbox in Outlook 2016


Instructions

  1. Go to the Control Panel and start the Mail applet.
  2. You may see one of the two following windows: the Mail Setup window (if there are existing profiles) or the Mail window (if there are no existing profiles). If you see the Mail Setup window, you will need to click on Show Profiles before proceeding. Once you see the Mail window, click Add.
  3. Under Profile Name type in the name of the Shared Mailbox, and click OK.
  4. Under Your Name, type in the name of the Shared Mailbox.
  5. Under Email Address, type in the Shared Mailbox email address (usually in the format “shared.mailbox@utoronto.ca”).
  6. Under Password and Confirm Password, type in the password associated with your own UTORid and click Next.
  7. Outlook will try to search for server settings. This may take several minutes.
  8. Click Allow when the warning shows up.
  9. Outlook will search for your account settings. When the login screen appears, click Use Another Account and type your Username (this is the same as your own email address and is usually of the form “firstname.lastname@utoronto.ca”). Enter the password associated with your own UTORid in the password field.
  10. Click Finish to save the settings.
  11. In the Mail window, choose either Prompt for a profile to be used (e.g. if you have more than one), or Always use this profile. Click OK.
  12. Go back to the Start screen and click Outlook 2016 to open it. Enter your own email address and password if prompted for username and password and click OK.
