How to manage Module and Group Dates in the Course Information System

Introduction

The Module & Group Dates setting allows Registrar's Offices to customize when each Module and corresponding Course Grouping functionality in CIS are made available to their division, providing greater flexibility and control over the divisional timing of CIS workflows.

Date Types and Requirements

There are a few types of dates that can be configured for each module, per session.

Module Dates

Module Dates define the period of time that a Module is accessible and available for viewing and submitting course information.

  • Module Dates are set per session and per module.
  • Module Dates apply to all courses and user roles within a division.
  • For a given module, the Module Dates for one session cannot overlap the Module Dates for another session.
  • If no dates are defined, the Module will display courses in the current, active session by default.

Group Dates

Group Dates define the period of time that the Course Grouping functionality is accessible and available for administrative staff to create and edit Course Groups.

  • Group Dates are set per session and per module.
  • Group Dates apply to all courses and administrative staff within a division.
  • It is recommended to open the Course Grouping functionality a few days earlier than the opening Module Date for the same module, so that administrative staff can set up Course Groups prior to any submissions being made.

Transition Date

The Transition Date defines the date that course submissions and Course Groups in the Exam Details module begin to be transferred to the Final Exam module.

  • Transition Date is only applicable to the Exam Details module.
  • Transition Date only applies to courses with an Exam Details submission that has been reviewed or approved.
  • The transition occurs on a nightly schedule. Courses and Course Groups will be available in the Final Exam module the morning after the selected date, as long as the Final Exam module dates are set appropriately.

 

Settings - Module & Group Dates

Access Module & Group Dates

  1. On your Home Page, click the Settings tab at the top.
  2. Click the Manage button to the right of Module & Group Dates.

 

Edit Module & Group Dates

Module and Group Dates can be edited for the current session as well as future session(s). There are a few requirements when setting dates (see Date Types and Requirements above).

  1. Click the desired session from the tabs at the top.
  2. Click the Edit button to the right of the desired module.
  3. For each date, click the calendar icon to open the date picker and select the desired date.
  4. Click the Save button at the bottom to save your changes.
